What information do we collect about you?
We collect information about you when you call our telephone number or sign up to our mailing list, or when you send an enquiry via the ‘Send Woods4Sale A Message’, ‘Contact Woods4Sale’, or ‘Enquire About This Woodland’ functions. We also collect information that you send to us via email to email@example.com.
You may use our website anonymously, and we will only collect the personal information that you willingly provide to us. This often includes (but is not limited to) your name, telephone number, email address and geographical area of interest; and in the event of you purchasing a property, your residential address and date of birth.
In addition, if we are providing a service to you, or on your behalf, we will collect information required to identify you to meet our anti-money laundering and counter terrorist financing obligations. This may include photographic ID and sensitive documents proving your place of residence. We may also collect information regarding your proof of ownership (or if you are not the legal owner of a property you wish to sell, proof that you are able to sell on the owner’s behalf) or the source of funding for a transaction.
We will not collect bank details or other payment information from you in the usual course of our business.

How will we use your information?
We collect information about you in order to process your purchase, manage your sale, or, if you have requested, to email you about properties that may be of interest to you.
When you sign up to our email mailing list we will not share your information with any other parties except for in the usual course of our business (as described below under the heading ‘Other uses of your personal information’), and we will not use your email address for any other purpose.
When you email us using the links on our website, we may share your personal details with our woodland management partner, Red Rock Forestry in order to give you the best possible service, and to help answer any forestry-specific questions you may have. Red Rock Forestry will never use these details for marketing purposes or to contact you without your specific request or consent.
Selling a property with Woods 4 Sale Ltd
When you are selling a property through us, we will use your personal information for the purposes of fulfilling our contractual obligations to you. We will share your personal information with your appointed solicitors, the other party to the sale, and the solicitors acting for the other side of the deal as is necessary to facilitate the sale.
As a seller we will share your personal data with third party identity checking agencies for the purposes of the prevention and detection of crime, fraud and/or money laundering as per our legal obligations. We will always ensure that the company we use to provide this service is fully compliant with the latest data protection rules.
Buying a property with Woods 4 Sale Ltd
When you are buying a property through us, we will use your personal information in order to arrange a contract for sale. We will share your personal information with your appointed solicitors and we will ask them to confirm your identity to us as part of the process. We will also share your details with the solicitors acting for the other side of the sale and the sellers as is necessary to facilitate the purchase.
As a purchaser we may share your personal data with third party identity checking agencies for the purposes of the prevention and detection of crime, fraud and/or money laundering as per our legal obligations. We will always ensure that the company we use to provide this service is fully compliant with the latest data protection rules.
Once you have completed your purchase we will share your details with the Small Woods Association for your years' free membership; and where we are managing a wider woodland, we will ask for your permission to share your contact details with your woodland neighbours to assist woodland management.
Other uses of your personal information
We will share personal information with our regulators, governmental or quasi-governmental organisations, law enforcement authorities and with courts, tribunals and arbitrators as may be required from time to time in order to comply with our regulatory and legal obligations.
We may use third party services providers who process personal information on our behalf in order to provide services to us. This includes IT systems providers and IT contractors as well as third party referencing or screening agencies for the purposes of the prevention and detection of crime.
We will never share your information for marketing purposes with any other companies.
We will only send you information by email about properties that are for sale in the regions that you have specifically requested us to. We will never share your personal information with any third parties for marketing purposes, and we will not send you marketing emails that you haven’t directly asked for.
Access to your information and correction
You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email or write to us at the addresses given below. We may make a small charge for this service.
We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
